World Wide Talents (“WW Talents”, “we”, “us” or “our”) provides recruitment services connecting professionals with employers across sectors and markets. This Privacy Notice explains how we collect, use, share and retain personal data in connection with our recruitment services, website, careers portal and business communications. It applies to candidates, prospective candidates, business contacts and individuals who contact us.
Data Controller: Aylin Oktay, operating under the trading name WW Talents.
Established in: Türkiye.
Contact email: contact@wwtalents.org.
Our recruitment services support employers and candidates across international markets. Applicable requirements include Turkish Personal Data Protection Law No. 6698 (“KVKK”) and, where its territorial scope applies, the EU General Data Protection Regulation (“GDPR”).
Depending on your interaction with us and the requirements of the recruitment process, we may collect:
• Identity and contact details: name, email address, telephone number and location.
• Professional information: CV or résumé, employment history, education, qualifications, skills, languages and certifications.
• Application information: roles of interest, applications, interview notes, assessment results and recruitment correspondence.
• Practical requirements: availability, notice period, compensation expectations, work authorisation and relocation preferences, where relevant.
• Business contact information: professional contact details and correspondence relating to our services.
Please provide information relevant to your application or enquiry. Avoid sending identity documents or sensitive information in an initial application unless specifically requested for a necessary and lawful purpose. Where sensitive personal data is required, the relevant purpose and processing conditions will be addressed separately.
We may collect information directly from applications, emails, interviews and other recruitment communications; through our careers portal and recruitment systems; from professional networking platforms, job boards and publicly available professional sources where permitted by law; and through referrals, referees, employers or recruitment partners where appropriate.
Information may be collected electronically or through manual records forming part of our recruitment records. Where information is obtained from another source, we provide any additional information required by applicable law within the relevant timeframe.
We process relevant personal data to respond to enquiries; assess applications and identify opportunities; coordinate interviews and assessments; introduce relevant candidates to prospective employers; manage candidate, client and business relationships; comply with legal obligations; establish, exercise or defend legal rights; and protect our systems and records.
Under KVKK, processing must satisfy an applicable condition under Articles 5 or 6. Depending on the activity, this may include processing directly related to establishing or performing a contract, compliance with a legal obligation, the establishment or protection of a right, legitimate interests that do not harm fundamental rights and freedoms, or explicit consent where required.
Where GDPR applies, relevant grounds may include legitimate interests, necessary steps at your request before entering a relevant contract, legal obligations or consent. Contract-related grounds apply only where the specific processing meets the relevant requirements. Legitimate interests require an assessment of necessity and the impact on your rights.
Submitting an application does not constitute blanket consent to all uses of your information. Where processing relies on consent, you may withdraw it without affecting the lawfulness of processing carried out beforehand.
We may retain a professional profile and contact you about relevant future opportunities where there is a valid legal basis. You can ask us to stop contacting you about future roles by emailing contact@wwtalents.org. If a message includes an unsubscribe option, you may also use it.
Opting out does not automatically delete all records or prevent communications necessary for an active application or legal obligation. Separate marketing communications are subject to applicable consent and communication requirements.
Where necessary and supported by an appropriate legal ground, personal data may be shared with prospective employers and clients to assess suitability and progress applications; recruitment partners involved in the process; service providers supporting recruitment platforms, email, hosting, IT and document management; and professional advisers or competent authorities where necessary for legal obligations or legal claims.
Information shared should be limited to what is relevant to the purpose. Employers and other organisations may act as independent data controllers under their own privacy notices. Service providers acting on our instructions have a different role from organisations using information for their own purposes.
Recruitment activities may involve employers, partners or service providers outside Türkiye or your country of residence. Overseas hosting, recruitment systems and email services may also involve international transfers.
Transfers must meet applicable legal requirements, including Article 9 of KVKK and, where applicable, Chapter V of GDPR. The appropriate mechanism depends on the transfer and may involve a recognised adequacy decision, applicable contractual safeguards or another legally permitted mechanism. KVKK and GDPR requirements must be assessed separately where both apply. Contact contact@wwtalents.org for information about transfers relevant to your data and the safeguards applicable to them.
We retain personal data for no longer than necessary for its stated purpose, taking account of applicable legal requirements.
• Applications and recruitment records: retained for the recruitment process and, where justified, afterwards to address enquiries, meet legal obligations or establish, exercise or defend legal claims.
• Profiles for future opportunities: retained only while there is a valid legal basis and a continuing recruitment purpose. Their relevance and retention must be reviewed periodically.
• Enquiries and business correspondence: retained as needed to handle the enquiry or relationship and satisfy applicable legal requirements.
• Records subject to statutory requirements: retained for the period required by the law applicable to those records.
A requirement to retain particular business records does not automatically justify retaining an entire CV or candidate profile for the same period. When the purpose and legal grounds no longer apply, personal data is deleted, destroyed or anonymised in accordance with applicable requirements. You may request deletion at contact@wwtalents.org. Where information must be retained, we will explain the reason and limit its use to the relevant purpose.
Under KVKK, you may learn whether your data is being processed; request information about processing, its purposes and whether it is used accordingly; learn the recipients of domestic and international transfers; request correction of incomplete or inaccurate data; request deletion or destruction where the legal conditions are met; request notification of relevant actions to recipients; object to a result against you arising from analysis exclusively through automated systems; and seek compensation for damage caused by unlawful processing.
Where GDPR applies, rights may include access, rectification, erasure, restriction, objection and data portability, subject to the relevant conditions. Where processing relies on consent, you may withdraw it.
Contact contact@wwtalents.org to raise a request or obtain information about the applicable request procedure. We may need proportionate information to verify your identity. Requests are handled within the applicable statutory period: generally within 30 days under KVKK and one month under GDPR, subject to the rules governing the request and any permitted extension.
Our website provides information about our recruitment services and an email address for enquiries. The Contact page does not collect information through a contact form. Hosting services and external platforms may process technical information or use cookies and similar technologies. Further information about technologies used on our website should be provided in our Cookie Policy. Where consent is legally required for non-essential technologies, those technologies must not be activated before valid consent is obtained.
External websites have their own privacy practices. Please review the relevant privacy information before submitting personal data to an external service.
Personal data must be protected through technical and organisational measures appropriate to its nature and the risks involved. Relevant safeguards include appropriate access controls, secure handling, limited disclosure and arrangements with service providers. No system can guarantee absolute security. If a personal data breach occurs, we will assess and fulfil the notification obligations applicable to the incident.
For privacy questions or requests, contact contact@wwtalents.org. Where KVKK applies, complaints to the Turkish Personal Data Protection Board are subject to the statutory procedure, including first applying to the data controller. Where GDPR applies, you may complain to the competent supervisory authority, including, where applicable, the authority in your habitual place of residence, place of work or the location of the alleged infringement.
We may update this notice to reflect changes in our activities, services or legal requirements. The date above indicates the latest update. Material changes will be communicated through an appropriate channel where required.
